This article will go through registering bidders for your live mobile auction. At the end of this article, we'll discuss the checkout process.
When hosting a live event and using Mobile Bidding, you'll want to register bidders through one of the two options below. This will bypass the email confirmation requirement.
With the two methods below, we will send a text message with the auction link to all bidders and use their cell phone number as their account confirmation.
NOTE: To have a successful experience, please use only these registration options when registering bidders on-site at the live event.
When setting up the onsite bidder registration process, use one or both of these methods:
- Live Event Registration Kiosk - This is a dedicated link that is placed onto a tablet or laptop. It's a great way to register bidders quickly. Once registration is complete, they will receive a text message with your auction link.
- Attendees Page - From the attendees page, you have the ability to see all the bidders whether they registered during pre-bidding, at the live event, or on the fly when they walked in.
Activate Attendee Management:
Step 1) Before you get started, it's important to activate the "Add online/mobile bidders as attendees" setting. This will make it easy to manage every bidder who registers through the auction page or Live Event Registration Kiosk.
Step 2) Once bidders start to register for your auction, they will populate on the "Attendees" page. This will allow you to resend the auction link by text message, update their cell phone number, edit personal information or add a credit card on file if needed.
Live Event Registration Kiosk:
Step 3) Go to Invite & Promote > Links & Widgets and copy the Live Event Registration Kiosk. Paste the link into any web enabled tablet or laptop.
Step 4) The tablet/laptop you use will become the "Registration Kiosk". Place this Kiosk at the check in table, have volunteers walk around the room or place it near the items table.
Step 5) Guests will register by filling out the form on the kiosk. Once they "Complete Registration" we will send them a text message with a link to your auction. Once they click on the link, your auction will open up and they will be ready to start bidding.
It is very important that you never use the main web auction URL at the live event. When registering through the main web URL, we'll ask them to confirm their email address. This will not work in a live event setting since most people do not get email on their phone.
Registering Bidders on the Attendees Page
You can use the "All Attendees" page as a way to register bidders as they walk into the event, or use this page to just trouble shoot and manage bidders already registered.
Some organizations have a Check-in table and pre-upload all their guests as attendees. As the attendee arrives at the event, they can check in with the volunteer. The volunteer will confirm or add a cell phone number, and then send out a text message with a link to your auction.
Step 6) Make sure to activate the Attendee Management from Step 1 Above.
Step 7) If you need to add an attendee on the fly, click the "Add Attendees" link in the top right corner. This will create a bidder record so you can generate an invoice at the end of the night.
Step 8) Once a bidder has been registered through the "All Attendees" page, you will need to send them a text message with your auction link. Click on the icon of the paper airplane to send the text message.
If you are using the Live Event Registration Kiosk and the bidder has not received a text message. Verify their phone number and resend the text message following step 8. To edit the phone number, click on the phone number next to the icon.
Checking Bidders Out
We have two setting for closing out the auction and collecting payments. One is "Auto Closeout" and the other is "Manual Closeout". Manual closeout is only available with a pre-paid plan. It will give you more flexibility but it is not required to run a live mobile auction.
Auto Closeout - If you have the free plan activated, auto closeout is the default and cannot be changed and credit cards will automatically be charged. When a pre-paid plan is activated, we do NOT auto charge credit cards after the auction is over.
Pros - Auto closeout will do everything for you. When the auction ends, invoices will be generated and if you are on a free plan, we auto charge all the credit cards. Cons - When the auction ends, you can not reopen the items. Sometimes at a live event, you may want to extend the end time. With Auto Closeout, if you do not extend the end time before the end time arrives, your auction can not be reopened.
Manual Close Out - Manual closeout can only be used with pre-paid plans. When your auction closes, there's a two step process you need to take
- Assign Winners - On the auction dashboard we display an alert to Assign Winners. Click the link to Assign Winners and we will generate invoices for all high bidders.
- Send Invoices - Once the page refreshes, on the auction dashboard you will see a new alert to Send Unpaid Invoices. Click the link and invoices will be sent out by email and text message. Go to the "View Invoices" page if you want to make any edits or view the invoices before they are sent out.
Pros - It will give you more flexibility with making edits to invoices before they are sent out and you can extend the auction end time if you have not assigned winners yet.
Cons - This is a manual process.
Step 9) When invoices are sent out, the bidders will receive a text message with a link to view and pay for their invoice. If you are on a Free Plan, they will receive a "Paid Receipt".
Step 10) You can view the Paid/Unpaid status of invoices from the "View Invoices" page.
Step 11) If you are on a pre-paid plan and collect payment offline with Cash or Check, you can update the invoice status manually by clicking on the bidders name. In the Offline Payment field, choose between Credit Card w/ Swiper, Check, or Cash. Once selected, the invoice will be automatically marked as Paid.
